How I Stay Organized While Managing Multiple Design Projects

by | Jan 20, 2026 | Blog

When I’m juggling multiple design projects at the same time, staying organized is the only thing keeping everything from turning into chaos. Between deadlines, client feedback, and creative work, things can spiral quickly if there isn’t a solid system in place. I’ve learned that the right tools and habits make a huge difference, especially when I’m trying to balance structure with creativity.

Here’s what actually helps me stay on top of everything without feeling overwhelmed.

ClickUp Is Where Everything Lives

ClickUp is basically my second brain. Every project gets broken down into clear tasks, and everything is organized by priority, category, and due date. I always know what needs to be worked on right now and what can wait until later.

Having everything in one place makes it so much easier to stay focused. I’m not wasting time trying to remember what I was supposed to do next or worrying that something slipped through the cracks. It keeps projects moving forward and helps me stay sane when things get busy.

My Inbox Is Heavily Labeled (and Color Coded)

I would lose my mind without email labels. Every single email in my inbox is labeled and color coded in Gmail through Google Workspace. Clients, internal messages, billing, assets, and different project phases all have their own labels, so I can find what I need fast.

I also have auto labels set up so when certain people email me, it’s automatically sorted the second it comes in. That alone saves me so much time and keeps important messages from getting buried.

Keeping Communication in One Place

I’m very intentional about where communication happens. I try to avoid having client conversations over text messages or phone calls whenever possible. When communication is scattered across different platforms, things get missed or forgotten way too easily.

Keeping everything in email or project management tools gives me a clear paper trail. I can always go back and see what was discussed, what decisions were made, and what’s coming next. It makes managing multiple projects way less stressful.

Organization Helps Creativity Flow

One thing I didn’t expect is how much being organized helps with creativity. When tasks are tracked and communication is clear, my brain has more room to actually focus on designing. I’m not constantly switching contexts or worrying about loose ends.

Having structure in place makes the creative part of my job feel a lot more enjoyable and way less rushed.

Final Thoughts

Staying organized while managing multiple design projects isn’t about overcomplicating things. It’s about having systems you can trust. For me, that’s ClickUp for tasks, a heavily labeled inbox, and keeping communication centralized so nothing gets lost.

When everything else is under control, it’s much easier to focus on what actually matters: doing good work.
