How I Manage Client Work Without the Chaos

Managing multiple client projects at once can get overwhelming if there isn’t a clear system in place. Between deadlines, constant emails, and last-minute requests, it is easy for things to get messy. Over time, I’ve developed a workflow that keeps everything organized and easy to manage, which helps me stay on top of projects without the stress.

Here’s how I keep client work structured and running smoothly.

ClickUp Is My Brain Outside My Brain

ClickUp has become my task management lifeline. Every project I’m working on lives in there, and I organize everything by priority, category, and due date. My team and I can see exactly what needs to be done, what is urgent, and what can wait. It takes the guesswork out of “what do I work on next?” and keeps everyone accountable.

What I love most is the clarity. I can open up ClickUp and immediately get a bird’s-eye view of all projects, or drill down into specific tasks without feeling overwhelmed. No sticky notes all over my desk, no digging through random notepads—everything is right there and easy to track.

The Email System That Saves Me Hours

I live in my inbox more than I’d like to admit, so having a system for emails is crucial. Every single email that comes in gets labeled and color coded. Client names, project phases, billing, assets—you name it, it has a label.

This makes it so much easier to find old threads or quickly pull up context when I need it. Instead of frantically searching for “that one email where the client mentioned the logo change,” I just click the label and it is there. It keeps my inbox clean, organized, and less intimidating, which honestly feels like a victory in itself.

My Personal CSS Cheat Sheet

As a web designer, I’m constantly reusing bits of CSS that I know I’ll need again. Instead of trying to reinvent the wheel every time, I keep an ongoing CSS list that I pull from whenever I start a new project. It’s my personal “cheat sheet” and includes everything from common fixes to styling tricks I know will come up.

Having this list saves me so much time. Rather than Googling the same snippets or digging through old projects to copy code, I can grab exactly what I need in seconds. It also helps me stay consistent across sites, which is a huge bonus when juggling multiple clients.

Final Thoughts

Staying organized as a designer is less about being perfect and more about creating systems you can actually stick to. For me, that means ClickUp for project management, a color-coded inbox for communication, and a trusty CSS cheat sheet for design work.

It is not a glamorous setup, but it keeps me focused, efficient, and most importantly, sane. And when you are managing multiple client websites at once, sanity is something worth holding onto.
